Vendors and Software for Property Managers: Functions, Costs and Evaluation

Start with the work that needs improving: deposits, payment processing, resident service, maintenance records or screening. These functions are different, and adding another vendor can add handoffs. Use the examples below to build a shortlist, then verify the selected plan and property-specific requirements.

Identify the Move-In Problem

Map the current process from approved application to keys: deposit choice, insurance evidence, resident instructions, payments and open maintenance. Identify who owns each step and where residents repeat information or wait for an answer.

Provider Examples by Function

Beagle: Deposit Alternatives and Selected Resident Services

Beagle offers a monthly security-deposit alternative. Compare the nonrefundable recurring fee with the cash-deposit option, including total expected tenancy cost and remaining resident obligations.

Review the property’s selected terms, limits and claim requirements before rollout. Beagle deposit program

Eligible property losses are reviewed under the program’s selected limit and terms; the fee does not insure residents or their belongings. Keep condition evidence and complete required notices. Do not treat the option as identical to holding cash or promise a payout date.

  • Ask who handles enrollment, billing changes, move-outs, resident disputes and claim submissions.
  • For proposed fee income, distinguish collected gross fees from program costs, staff work, refunds and any agreement-specific distribution.

Beagle’s Renters Kit also lists selectable move-in coordination, rent reporting, identity services and filter delivery. Confirm the actual package and activation steps instead of assuming all services or AI features are included.

Flex: Rent-Payment Splitting

Flex describes splitting eligible rent payments while sending the biller the full amount upfront. Its disclosures require application/credit approval and landlord or biller eligibility. This is a financial product with resident fees, not a universal guarantee that every resident’s rent reaches the property on the first.

Review current terms, resident costs and payment timing for your workflow. Flex for properties

  • Compare membership, processing, borrowing/split and any payment-method charges using the resident’s actual offer.
  • Confirm cutoffs, first-payment requirements, failed-payment handling and how the property ledger is reconciled.
  • Explain how a resident cancels and what happens if they cannot make the later payment; do not promise lower delinquency from availability alone.

Zego: Rent Payment Processing

Zego Pay describes digital rent payments, recurring payments and methods including cards, ACH and selected cash/check channels. Utility management and resident engagement appear as separate product areas; confirm what the selected package includes.

Ask for the supported integration and funding schedule for your property software. Zego Pay

  • Test payment posting, processing fees, refunds and returned payments.
  • Check the resident’s available payment alternatives and assisted support.
  • Demonstrate reconciliation and failed-delivery/failed-payment exceptions.

AppFolio: Core Property Operations

AppFolio’s platform lists accounting, leasing, work-order management, inspections and communication, with features differing by package. Compare it with the processes your current system already performs before adding or replacing software.

Review the selected package rather than assuming all AI and integration features are included. AppFolio platform and packages

  • Demonstrate one application through move-in, including document corrections.
  • Demonstrate a renewal with a charge change and a resident response.
  • Demonstrate a reopened work order and a vendor follow-up.
  • Confirm export, migration, permissions, implementation and support costs.

Checkr: Confirm the Tenant-Screening Offering

Checkr’s tenant guide describes an early-release screening offering, with identity, credit and income capabilities in early access. Verify currently available reports and whether the selected product is authorized for housing use; do not equate employment screening or a personal self-check with tenant screening.

Confirm scope and availability directly before planning an integration. Checkr tenant-screening guide

  • Ask how identity mismatches, incomplete records and disputes are handled.
  • Document the property’s lawful criteria and who reviews an ambiguous result.
  • Software does not make a housing decision automatically compliant. If a consumer report contributes to a negative decision, applicable adverse-action notices and dispute rights still matter. FTC tenant-screening rights

Check Costs and Responsibilities Before Signing

For each shortlisted provider, request a concrete demonstration and written scope covering:

  • Total cost: implementation, recurring charges, resident fees, optional modules and cancellation.
  • Workflow: supported integration, reconciled records, exception ownership and staff work.
  • Resident service: eligibility, activation, accessible support, disputes and move-out changes.

Run a limited pilot with an ordinary case and a difficult one. Track completion, errors, resident questions and staff time against your current process; do not budget revenue or retention gains from a testimonial alone.

Keep the System Understandable

Choose the smallest set of tools that completes the necessary work. Residents should know what a charge is, who provides a service and where to get help. Staff should know which system holds the final status and who fixes a mismatch.
